Terms and Conditions

  • Deposit Refund: Returned 10 days after a handover inspection if no damage, or fuel is missing.
  • Delivery/Collection: Vehicle must be collected by the customer (optional delivery available at additional cost).
2.  Mileage
  • Maximum Allowance: 100 miles per day, per vehicle.
  • Excess Mileage Charge: £0.20 per mile.
3.  Insurance
  • The hirer must provide proof of comprehensive insurance before collection.
  • Insurance must cover vehicle damage, third-party liability, and authorised drivers.
4.  Handover & Return Inspections
  • AmbulanceNOW will complete pre-delivery and return inspections.
  • The hirer is encouraged to carry out their own inspection prior to collection.
5.  UK Road Laws & Responsibilities
  • The hirer is fully responsible for complying with all UK road traffic laws.
  • This includes holding a valid UK driving licence appropriate for the vehicle.
  • Any driving offences, including speeding, parking violations, or toll charges, are the sole responsibility of the hirer.
  • If the vehicle is seized or impounded due to improper use, the hirer is liable for all associated costs.
6.  Vehicle Use Restrictions
  • The ambulance must only be used for the specific event or purpose it was rented for.
  • Any unauthorised use outside the agreed purpose is a breach of these terms and may result in termination of the agreement and forfeiture of the deposit.
7.  Vehicle Condition & Cleanliness
  • The vehicle must be returned in a clean and sanitary condition.
  • Any excessive dirt, clinical waste, or biohazard material must be removed prior to return.
  • A cleaning fee may be charged if the vehicle is returned in an unacceptable condition.
8.  Equipment Use & Storage
  • All on-board medical equipment must be used responsibly and stored securely during transit.
  • The hirer is responsible for any loss or damage to the medical equipment supplied.
  • Medical gases (if provided) must be stored and used in accordance with relevant regulations.
  • All on-board equipment is security marked. Any evidence of tampering, removal, or interference with the security markings or the equipment itself will result in the forfeiture of the full deposit and may lead to further legal action.
9.  Fuel Policy
  • The vehicle will be provided with a full tank of fuel and must be returned with the same level.
  • A refuelling charge will apply if the vehicle is returned with less fuel.
10.   Breakdown & Emergency Procedure
  • In the event of a breakdown, the hirer must contact AmbulanceNOW immediately.
  • Emergency contact numbers and breakdown cover information will be provided at handover.
  • The hirer is responsible for maintaining the condition of the tyres during the hire period. This includes:
  • Ensuring tyres are kept at the correct pressure.
  • Checking for visible damage or excessive wear.
  • Replacing any tyres that become unroadworthy due to misuse or negligence during the hire term.
  • Punctures and tyre damage caused during the hire are the responsibility of the hirer. Any costs associated with puncture repairs or tyre replacements will be deducted from the deposit unless otherwise agreed in writing.
  • Tyre wear from normal use is expected, but excessive or uneven wear due to improper use (e.g. aggressive driving, driving with incorrect pressures, or alignment issues caused by impact) may result in additional charges.
  • If the vehicle is unusable due to mechanical failure (not caused by misuse), a replacement may be provided where possible.
11.   Vehicle Tracking
  • All vehicles are fitted with GPS tracking for security, usage monitoring, and legal compliance.
  • Data collected may be used for billing accuracy, incident investigations, or insurance purposes.
12.   Termination
  • AmbulanceNOW reserves the right to terminate the hire agreement at any time due to misuse, breach of terms, or failure to insure the vehicle.
  • No refunds will be issued for unused hire time in cases of termination due to breach.
  • Full Refund: If the booking is cancelled more than 1 month before the start date, a full refund will be issued.
  • 50% Refund: If cancelled before 14 days of the start date, 50% of the hire cost will be refunded.
  • No Refund: If cancelled 14 days or less before the start date, no refund will be issued.
13.   Indemnity
  • The hirer agrees to indemnify AmbulanceNOW against any claims, losses, or damages arising from the hirer’s use of the vehicle, including but not limited to injury, damage, or legal penalties.
14.   Maintenance & Servicing – Terms of Hire
  • All vehicles are supplied fully serviced and in excellent working condition at the commencement of the hire.
  • AmbulanceNOW will cover any required maintenance, servicing, or repairs during the first month of the hire period.
  • After the initial one-month period, the responsibility for all ongoing vehicle servicing, maintenance, MOTs, and general upkeep transfers to the hirer.
  • The hirer must ensure that the vehicle remains roadworthy, regularly maintained, and compliant with all legal and operational standards for the duration of the hire.
  • Failure to maintain the vehicle appropriately may result in additional charges, loss of deposit or termination of the hire agreement. This includes, but is not limited to:
  • Misuse or abuse of the vehicle
  • The hirer is responsible for ensuring the auxiliary battery is not drained through excessive or improper use.
  • Neglect of regular maintenance requirements (e.g., oil checks, tyre pressure, fluid levels, Battery)
  • Failure to promptly report any damage or mechanical issues
  • Improper or unauthorised use of the vehicle
  • Use of the vehicle in violation of any laws or regulations
  • Failure to keep the vehicle clean and in reasonable condition
  • No refunds or partial refunds are given during longer hire periods if the vehicle is off the road for unexpected or routine maintenance unless otherwise agreed in writing.

Amendments to Terms:
We reserve the right to update or amend these terms and conditions at any time. Any changes will take effect immediately upon being published on our website or otherwise communicated to the hirer. It is the hirer’s responsibility to review the terms periodically. Continued use of our services or vehicles after changes are made constitutes acceptance of the updated terms.
